THE CHALLENGE

Over the past 10 years, the Eventbrite team has grown from a small but mighty group in San Francisco to a global community of 1,000+ employees in over 11 countries. We are scaling our Facilities team to support our domestic and international expansion, and continue our investment in our #1 asset: our people (our “Britelings”). The experience "Britelings" have in the office is central to their productivity and engagement. The Office Coordinator is responsible for organizing and supervising all of the administrative activities that facilitate the smooth running of our San Francisco Headquarters.


THE TEAM

The Facilities team, as part of Finance, supports Eventbrite and our team’s culture through creating great working environments and seamless services in the Briteland. We’re passionate about bringing a consistently delightful workspace experience to Britelings in our 11+ (and counting) offices worldwide.

THE ROLE

Eventbrite is looking for a rock-star Front Office Coordinator to join our Facilities Team. As the Front Office Coordinator, you’ll be the first point of contact for everyone who enters the Briteland, and the point person for Britelings to go to with any questions they may have about the office. We’re looking for someone with an infectiously upbeat attitude, endless energy, and a knack for retaining information! Our perfect candidate is someone who can roll-up their sleeves to get things done, multitask like a champ, loves to help, and will jump at the opportunity to lend a hand with special projects throughout the office.


YOU WILL

  • Oversee the Briteland guest calendar and greet all guests with a smile, get them signed in and on to their proper destination with the party they are visiting
  • Receive all incoming packages, mail, and surprise deliveries and alert the recipient to retrieve from you or deliver as needed
  • Manage outgoing mail & package services (create shipping labels, schedule pickups, etc)
  • Partner with our kick-ass recruiting team to make sure every candidate who comes through our doors has a delightful experience 
  • Support office management duties and help keep our office in tip-top shape (we strongly believe in keeping our home beautiful and spotless), includes daily walkthrough of office to capture anything requiring repair or maintenance attention.
  • Submit maintenance work orders to property management.
  • Manage emergency response team list, keep updated, and distribute as needed.
  • Learn to navigate the ins and outs of Eventbrite, the office, and the team to effectively answer questions or point Britelings in the right direction
  • Manage office supply, food inventory and orders
  • Manage and update office screens with current content to showcase new hires, work anniversaries, special marketing campaigns, and event slides
  • Manage new hire arrival experience. Coordinate Culture Ambassadors for NBO day. Take new hire badge photo, print badge and activate in system. Prepare new hire desk for first day (nameplate in place, ensure equipment is installed, welcome swag is prepared).
  • Manage travel/visitor coordination as needed
  • Provide event support for internal and external events as needed (includes planning, ordering, setup, and teardown)
  • Create expense reports  

THE SKILLSET

  • Great communication skills an approachable demeanor and a great sense of humor
  • 1+ years of prior office management and facilities experience (in a start-up a plus!) and the ability to collaborate effectively with other operational heads in other offices
  • Creativity in social and fun activities that drive morale and positivity in line with the San Francisco culture
  • Exceptional organizational and multitasking skills while juggling deadlines and priorities
  • Excellent problem solver with an infectiously upbeat attitude
  • Must be willing to roll-up your sleeves and have a knack for creative problem solving
  • Proactive approach to identifying improvements that can be made up-to-date knowledge of Health & Safety Regulations
  • Diligent budget management and vendor relations
  • Knowledge of Word, Excel, and PowerPoint
